IMA Europe considers careful handling and security of your personal data of great importance. Personal data is therefore processed and secured accurately. In this privacy statement you can read how we do that.
This version of the privacy policy is updated in January 2025.
What personal data do we process?
We process your personal data when you choose to provide it to us, when you sign up for our newsletter, when you fill in the contact form and when you apply to become a member of IMA Europe. We then process one or more of the following personal data from you:
- First and last name
- Job title
- Company name
- Company address
- Email address
- Phone number
- X id
- LinkedIn id
- Business type
- Your focus area in incentive marketing
- Your preferred payment method for becoming a member
- Other information your choose to provide

For what purpose do we process your personal data?
We process your personal data to
- Respond to a question or request
- Send you the newsletter, if you have given permission for this
- Process your application to become a member of IMA Europe
- Measure the use of our website, if you have given permission for this
- Comply with UK and European laws and regulations
On what legal basis do we process your personal data?
We base the processing of your personal data on the following legal bases:
- When responding to a question or request, we base ourselves on the legitimate interest
- When sending the newsletter, we base ourselves on the consent you have given
- When processing your application to become a member of IMA Europe, we base ourselves on your request
- When measuring the use of our website, we base ourselves on the consent you have given
- When complying with laws and regulations, we base ourselves on these laws and regulations
How long will your personal data be kept?
We will not store your personal data for longer than is strictly necessary to achieve the purposes for which your data is collected:
- If you send us a question or a contact request, we will store your personal data for one year because of our internal quality system. We can learn from everything you tell us. After that, your personal data will be deleted
- If you have indicated that you want to receive our newsletter, we will store your personal data as long as you have not unsubscribed via the opt-out that is included at the bottom of each newsletter. If you unsubscribe, your personal data for sending the newsletter will be deleted immediately
- If you have applied to become a member of IMA Europe, we will store your personal data while we assess your application. If the outcome of our assessment is that we welcome you into our community, we will process your information for as long as your membership lasts. If the outcome of our assessment is negative, we will store your personal data for one year because of our internal quality system. After that one year, your personal data is deleted
- If you have given us consent for the usage of cookies, we process your IP address for the objectives as explained in our cookie consent center
- If we store your data to comply with laws and regulations, we will store your personal data for as long as is required by those laws and regulations.
Do we share your personal data with third parties?
No, we do not sell your data to third parties and will only provide your data to third parties if this is necessary to meet the processing purposes described above.
How can you access, modify, delete or receive your personal data in digital format?
You have the right to view, change, delete and receive your personal data from us in digital format. In addition, you have the right to withdraw your consent for the data processing or to object to the processing of your personal data. You can send a request to of****@im*******.com. In order to ensure that the request has been made by you, we may ask you for further identification. We will respond to your request as soon as possible, but in any case within four weeks. As soon as your request has been processed, the data you provided for identification purposes will be deleted.
How do we handle personal data of persons under 16 years of age?
We do not intend to collect personal data about children under the age of 16. However, we cannot verify whether, for example, someone who subscribes to our newsletter is older than 16. We therefore recommend that parents be involved in the online activities of their children, in order to prevent data about children being collected without parental consent. If you are convinced that we have collected personal data about a child under the age of 16 without this consent, please contact us via of****@im*******.com. We will then delete this personal data immediately.
Do we engage in automated decision making?
We do not make decisions based on automated processing, without a human being involved at the end of process, on matters that can have (significant) consequences for people.
How do we secure your personal data?
We take the protection of your data seriously and ensure appropriate measures are taken to prevent misuse, loss, unauthorized access, unwanted disclosure and unauthorized modification. If you have the idea that your data is not properly secured or there are indications of misuse, please contact of****@im*******.com.
What about third-party websites?
This privacy statement does not apply to third-party websites that are connected to our website by means of links or that have forwarded you to our website. We cannot guarantee that these third parties will handle your personal data in a reliable and secure manner. We recommend that you read the privacy statement of these websites before using them.
How can you file a complaint about us?
If you have a question about how we handle your personal data, you can ask it via of****@im*******.com. But you also have the option to file a complaint with the United Kingdom supervisory authority, the Information Commissioner’s Office (ICO).
How do we handle changes to this privacy statement?
We reserve the right to make changes to this statement. It is recommended that you consult this statement regularly so that you are aware of these changes.
